PRODUCT HANDLING AND WAREHOUSE POLICIES

Product Handling and Warehouse Policies

Squirrel Prep Center LLC

Operational rules for inbound receiving, inspection, stock storage, FBA and WFS preparation, direct-to-customer sales orders, dispatch, discrepancies and returns.

1. Scope and service selection

These policies describe the physical workflow for goods accepted by Squirrel Prep Center LLC. The Terms and Conditions govern contractual rights, and Pricing and Fees governs charges. Before shipping stock, the Client must identify whether an inbound batch is intended for marketplace-bound FBA/WFS preparation, ongoing direct-to-customer 3PL fulfillment, or an agreed combination. Changing the model or moving allocated inventory between them requires an accepted instruction and inventory reconciliation.

Flow

Inventory after Squirrel receives it

Who ships the consumer order

Amazon FBA prep

Prepared, packed, and sent to an Amazon fulfillment center.

Amazon under its FBA program after its acceptance.

Walmart WFS prep

Prepared, packed, and sent to a Walmart fulfillment center.

Walmart under WFS after its acceptance.

3PL direct-to-customer

Held at Squirrel until each actionable customer sales order arrives.

Squirrel picks and packs, then tenders to a carrier under the Client’s funded label.

2. Inbound ASN before dispatch

The Client must create the inbound ASN or shipment batch before its supplier ships goods to us. Per inbound shipment, the minimum is 200 single products of the same SKU, 200 Big Size single products of the same SKU, or 100 finished bundles or multipacks of the same bundle SKU. For bundles, the minimum counts completed bundles, not individual component units; the Client must ship enough correctly identified components to make at least 100 complete bundles of one defined bundle SKU. Do not combine unrelated SKUs or bundle configurations to meet a minimum. These minimums apply whether inventory is allocated to FBA, WFS or 3PL fulfillment. Identify the account, supplier, expected SKU and UPC, quantities, carton or pallet count, tracking or freight reference when available, and the service model. Provide known dimensions, weight, expiration, bundle definitions and component counts, marketplace product identifiers, and handling instructions.

Each shipping unit needs enough Client or batch identification to match the ASN. A purchase order or supplier packing list is helpful but not required for standard receiving when the portal record is sufficient. A purchase order used for procurement is not the end-customer sales order that triggers direct-to-customer 3PL dispatch. Deliveries of freight and facility visits should be coordinated in advance. Without a usable ASN, goods may remain unidentified while we request documentation.

3. Vehicles and receipt

We accept cartons and pallets delivered by standard commercial vehicles, including box trucks, straight trucks and tractor-trailers, when access, scheduling and safe unloading permit. Standard carton and LTL receiving has no separate Squirrel receiving charge; FTL or container unloading has the listed per-pallet charge. The Client and its supplier must provide suitable transport packaging and carrier information. A carrier receipt signature does not certify the contents or hidden condition of every unit.

Physical custody starts on actual delivery and acceptance by our personnel. Delivery windows for freight are confirmed for the particular inbound; customer-support hours are not an unconditional dock appointment.

4. Standard receiving inspection and records

We count cartons and individual units, compare observable SKU and UPC with the ASN, check applicable visible models, colors, sizes and expiration dates, and document evident damage, wrong goods or discrepancies. We photograph received inventory and identified issues when applicable and report counts and discrepancies in the client portal.

The standard review is external and visual. We do not open sealed retail packages, power on devices, test performance or examine internal components unless a separate service is accepted. A visually intact box does not establish that the product inside is functional or free of concealed damage. The portal’s “received” status may precede final unit reconciliation; the operational stage should be read with the underlying record.

5. Client data and visible conflicts

The Client must verify SKU, UPC, ASIN, FNSKU, quantity, bundle components, expiration, weight, dimensions, inventory allocation, destination, recipient address, promised shipping speed and any imported order information. It must correct an error before the affected work is done. We use clear accepted instructions but pause and request clarification when a received UPC, quantity, label or product visibly conflicts with the instructions.

Example

Operational result

Client enters an incorrect FNSKU; our team applies that exact code and no agreed check reveals the problem.

Client information caused the result; correction is separately arranged.

Client supplies the correct FNSKU; our team applies a different one.

Squirrel corrects its prep error where reasonably possible.

Physical UPC visibly differs from the portal product.

Record the discrepancy and obtain instructions before affected prep or pick.

Client imports a sales order with a wrong address or duplicate order.

Hold if the conflict is detected; otherwise evaluate the instruction, checks and actual cause.

Portal or channel integration fails to transmit an order.

Investigate import and acknowledgment; no order is considered actionable merely because it exists in the storefront.

Sealed electronic device has an undiscoverable internal fault.

Record when discovered; failure to find it by exterior inspection alone is not a prep error.

Squirrel remains responsible for the verification it agreed to perform and for its own mislabeling, mispicks or documented handling damage. Shared causes are investigated on their facts.

6. Exceptions and disposition

Visible shortage, excess, wrong SKU, damage, expiration or incomplete information is recorded in the portal’s Problems or equivalent workflow, with photographs where practical. We segregate affected units when feasible, pause their prep or fulfillment, and request the Client’s disposition instruction. The Client may authorize return to supplier, another approved destination, feasible rework or disposal.

Ordinary inbound discrepancy logging is part of standard receiving, not the $1 return-processing charge. The Client should respond within seven calendar days of notice so that the issue can be resolved; the deadline does not authorize automatic disposal. A supplier or pre-receipt carrier claim remains the Client’s claim; we provide available receiving evidence.

7. Product limits and restrictions

We do not accept hazmat or glass. Illegal, counterfeit or infringing goods; firearms and ammunition; live animals or plants; alcohol; tobacco and vaping products; prescription drugs; and goods requiring unaccepted licenses, permits or storage controls are also excluded. Grocery, supplements, cosmetics, fragile non-glass goods or expiration-dated products must be disclosed for review. Accepting them does not imply refrigerated, frozen or other special-temperature storage.

Standard single products may measure no more than 16 × 12 × 8 inches and weigh no more than 4 lb. A marketplace-prep Big Size single may exceed a standard limit but not 25 × 20 × 15 inches or 10 lb. A completed bundle or multipack may measure no more than 25 × 20 × 15 inches and weigh no more than 10 lb, regardless of its component count. Under Standard 3PL Fulfillment, the $1.50 single-unit rate applies only within the standard single-product limits; the $2.50 finished-bundle base rate covers up to two components and each additional component adds $0.50. Larger single units or anything beyond a maximum requires prior written review and a quote, and may be declined.

8. FBA and WFS marketplace-bound preparation

For accepted FBA or WFS work, we prepare inventory to the approved plan by visual inspection, FNSKU or other required labeling, polybagging, ordinary Client-defined bundles or multipacks, expiration labeling, bubble wrapping or other authorized prep as applicable. A completed bundle may contain two components at its base rate; each additional component adds $0.50 per finished bundle, subject to the completed bundle remaining within 25 × 20 × 15 inches and 10 lb. One-component products are singles. We do not provide kitting or complex assembly. We pack units and prepare cartons or LTL pallets for dispatch to the relevant Amazon or Walmart fulfillment center. The Client must provide eligibility, product data, platform-specific instructions, correct labels and access or an authorized supported connection.

An identical-carton configuration may be requested and arranged when counts, dimensions, destinations and marketplace requirements allow it. We support outbound LTL pallet preparation. We do not currently dispatch FTL directly to Amazon fulfillment centers; several LTL shipments may be arranged when appropriate. Marketplace receipt, storage, consumer-order fulfillment, customer support and return decisions after delivery to its program remain under the applicable marketplace.

9. Standard 3PL fulfillment workflow for FBM and stores

9.1 Receipt and storage

We receive and inspect 3PL inventory as described above, record its Client and SKU, and store it for later customer orders. Inventory may be used for Amazon FBM/MFN, Walmart seller-fulfilled orders, Shopify, eBay or another accepted sales channel. The first four calendar days of initial storage are included, then approved storage rates apply. Ongoing storage is a distinct service from per-order pick and pack.

9.2 Order receipt and release

We wait for individual customer sales orders to arrive in an enabled PrepShipHub integration or an agreed verified manual channel. An order must be released, identify the available SKU and quantity, specify the recipient and address, and have a valid Client-funded shipping label or an approved way to generate it using Client funds. When these conditions are missing, we place the affected order on hold and request instructions. The Client should monitor its storefront and the portal for failures, duplicates, stock synchronization and cancellations.

9.3 Pick, pack and ship

For an actionable order we pick the specified item or components of a defined bundle/multipack, perform ordinary order preparation and packing, apply the shipping label, and tender the package to the carrier for delivery to the end customer. Ordinary pick, pack and label application are covered by the $1.50 standard single-unit fee or the $2.50 base fee for a finished bundle of up to two components; each component beyond two adds $0.50 per shipped finished bundle. The completed bundle must remain within 25 × 20 × 15 inches and 10 lb. The Client pays the carrier label, postage, surcharges and any shipment insurance. Extra packaging materials or special work require an accepted quote. We do not offer kitting or complex assembly. An order containing two separate single units incurs two single-unit fulfillment charges; a defined finished bundle is charged per bundle.

9.4 Status and changes

We record dispatch and tracking when the supported workflow permits. A marketplace or storefront may require the Client to review or complete shipment confirmation, buyer notices, refunds or other seller duties. An order cancellation, address edit or duplicate may be too late to stop once packing or carrier handoff has occurred. A returned parcel is processed only under an accepted returns workflow; a new fulfillment charge applies if it is later sent again.

The 3PL dispatch commitment and 2:00 p.m. ET cutoff appear in Section 11 and the Terms. That commitment does not guarantee carrier delivery by a particular date or uninterrupted order synchronization.

10. Portal and integration interruptions

PrepShipHub is an independent platform provider. The portal can support inbound records, storage inventory, sales orders, shipments, returns, billing and issues, subject to features and permitted integrations. The Client must maintain account permissions and copies of critical records; it must not assume every platform feature is enabled for every channel.

If an integration, API or the portal fails, we may use verified email or another agreed manual process, request reconnection or pause affected operations. A changed instruction is effective only after it has been received and confirmed by Squirrel before execution. We cannot be expected to process an order that was never made available to us. We remain responsible for our own errors when carrying out an actionable instruction.

11. Separate turnaround times and carrier closures

11.1 FBA and WFS inventory preparation

The target for marketplace-bound FBA and WFS preparation is 48–72 hours, normally 2–3 business days, after physical receipt with a proper ASN, complete product information, required marketplace authorizations and shipping labels. It ends when the prepared inventory is tendered to the carrier; marketplace receiving and transport time are separate. A day Squirrel is closed does not count toward the 2–3 business-day target.

11.2 Standard 3PL customer orders

When inventory is already received, counted and available at Squirrel, an actionable Amazon FBM, Walmart seller-fulfilled, Shopify, eBay or other approved customer order placed before 2:00 p.m. U.S. Eastern Time (ET), Monday through Friday, is picked, packed, labeled and tendered for carrier dispatch on that business day. An order placed at or after 2:00 p.m. ET is dispatched on the next business day. Orders placed on weekends or nonoperating days are handled on the next business day. ET reflects daylight saving time when applicable.

11.3 Eligibility and late transmission

The order must be visible to Squirrel in an enabled integration or verified manual channel and released with available stock, complete address and recipient details, valid Client-funded label or purchasing authority, and an available pickup before the 2:00 p.m. cutoff. We compare the storefront order timestamp with the time the order becomes actionable. If a pre-cutoff store order first reaches Squirrel or becomes complete after 2:00 p.m., the dispatch target is the next business day; if it becomes actionable before 2:00 p.m. on a later business day, it is dispatched that day. We place exceptions on hold and request the missing item. We cannot physically dispatch an order that was not transmitted or lacked the information or label necessary to ship.

11.4 Holidays and carrier schedules

For direct-to-customer dispatch, a business day means Monday through Friday when both Squirrel and the selected UPS, USPS, FedEx or other carrier service accept that shipment. A carrier closure, including Labor Day or another date on which the selected service does not accept pickup, moves dispatch to the next day both Squirrel and that carrier operate. If that carrier has different hours for different services, the schedule of the service selected and funded by the Client applies. A shipping label created during a closure is not evidence of carrier handoff. Dispatch means carrier tender, not final delivery to the buyer.

Planned processing capacity is approximately 3,000 units per business day and varies with workload. Larger inventory programs and peak periods should be coordinated in advance. Customer support is available Monday through Friday, 9 a.m.–5 p.m. ET by email, SMS or WhatsApp. The support schedule is distinct from the order-dispatch cutoff. Freight deliveries and visits are scheduled separately.

12. Storage, unknown goods, and returns

Initial storage is included for four calendar days, counting the date of receipt as day one. Thereafter standard 48 × 40 inch pallets are charged $60 per pallet per month under Pricing and Fees. Carton, bin or unusual storage needs a prior quote. Goods deliberately kept for ongoing 3PL order fulfillment remain subject to storage charges. Inventory shown in the portal may be reconciled as work is completed.

If goods arrive without a usable ASN or owner identification, we seek the missing data. Fourteen calendar days is an escalation point for unidentified goods, not automatic abandonment. Unpaid, unclaimed, hazardous or deteriorating inventory follows notices and lawful remedies under the Terms.

We accept properly identified Amazon removals and customer returns from approved channels, subject to the agreed inbound and return workflow. The $1 per item standard return-processing service includes receipt, exterior inspection and photos. Re-preparation, new outbound fulfillment, storage, supplier-return labor and disposal have their distinct listed charges. We do not certify a returned item as resellable merely because an exterior check found no issue. The Client supplies prepaid supplier-return labels and determines buyer refunds and marketplace dispositions.

13. Supplier returns and disposal

When authorized, we can coordinate returns of wrong, damaged, excess or other nonconforming inbound goods to a supplier or original shipper. The first hour of return-management labor is included; additional time is $30 per labor hour, plus necessary materials and Client-paid transport. The Client supplies return approval, destination and prepaid label.

Ordinary disposal requires documented Client instruction and is $0.50 per item. It does not include a destruction certificate, secure device-data erasure or special-waste treatment. We may take immediate protective steps with unsafe goods only as permitted by law. No period of inactivity alone transfers title.
